    About You

    The ideal Virtual Executive Administrator is someone who can handle managing multiple clients, has a strong administrative background, and excels at working without much direction.  Our clients look to us to provide not only impeccable administrative services, but also as a partner to help put processes into place, increase efficiencies, and offer suggestions on tools that may help their business.

    We are not administrative assistants – we work with leadership to run and manage organizations, often with little to no training or direction.  Rather than our clients showing us how to manage tasks, it is up to us to figure systems out, and make them better.  This role works independently and does not have someone around to “show them the ropes”.

    Job duties are different every day!  They can include financial management, member management, updating websites, creating and sending out e-newsletters, web research, meeting planning, taking minutes at Board meetings, managing email accounts, travel arrangements, and anything else our clients need!  We are the ones who manage deadlines, keep leadership on task, and essentially keep the organization running smoothly and efficiently.  Virtual Executive Administrator services are very customized to each client, so you need to be flexible and eager to meet those needs!

    We offer flexible hours, excellent pay, the ability to work both in our office as well as out of your home, and a great team to work with.  You will be brought on as an Independent Consultant, and you must live in the Madison/surrounding area and have transportation to get you to the office, Board meetings, and other required client meetings.

    Required Experience:

    • Minimum of 5 years of administrative experience
    • Strong ability to multi-task and work independently
    • Expert with Microsoft Office products (Word, Excel, PowerPoint, Publisher)
    • Strong ability to self-motivate
    • Outstanding ability to learn new software programs and pick up on new tasks and programs quickly
    • Bachelor’s degree

    Bookkeeping Experience (required):

    • Accounts Payable – Manage bills and pay vendors and any bills in a timely fashion.  Includes printing and signing checks according to the organization’s internal control (disbursement) procedure
    • Accounts Receivable – Issue invoices to customers/members and send monthly statements of any past due invoices to ensure that receivables are collected promptly
    • Record cash receipts and make bank deposits
    • Conduct a monthly reconciliation of every bank account
    • Issue financial statements, including profit and loss statement and balance sheet
    • Assemble information for external auditors for the annual audit
    • Maintain the chart of accounts
    • Maintain the annual budget

    Desired Qualifications:

    • Ideal candidates will have supported C-level executives, Executive Directors, or Boards of Directors
    • Prefer candidates who have some experience working in the non-profit sector, although this isn’t required

    The best candidate will remain flexible, proactive, resourceful and efficient. High levels of professionalism and confidentiality are crucial to this role. The person in this position must utilize problem-solving skills on a myriad of levels, from rearranging complex schedules to revising and refining existing policies. Advanced written and verbal communication skills, strong decision-making ability, and attention to detail are equally important.

    We’re looking for an exceptionally bright, self-motivated Virtual Assistant who will support multiple clients of impact virtual services.     + Business Development Executive

    impact is looking for someone who loves building relationships, is extremely motivated, thrives on working independently, and is passionate about the business development process.  If you are someone who has a strong drive to succeed and a passion for making clients happy, then we should talk!

    Main responsibilities will be:

    • Attending networking functions, business meetings, and professional events (both during the day and early evening)
    • Scheduling and conducting follow up one-to-one meetings with connections made during the events, online, and through referrals
    • Traditional sales activity (mailings, lead generation, warm calling, list building, etc)
    • Using social media to develop relationships, build connections, and share our expertise to help others
    • Market Impact to spread the word about our services and benefits

    + Social Media Strategist

    About You
    The ideal Social Media Strategist is someone who enjoys supporting multiple clients within a wide range of industries. We require a high level of professionalism and only the best customer service for our clients. A background in journalism or experience in ghostwriting a plus! This position requires someone who is able to work with a wide range of personalities in order to successfully create a strategic social media outreach plan to achieve the goals of each client. The ability to research and create valuable, insightful and relevant content a must. Seeking a results driven and confident individual who places communication as a top priority. The applicant must have the ability to self-manage and work independently while hitting each and every deadline.

    About the Position
    impact Social Media Strategists communicate with clients regularly in order to develop and evaluate online campaigns. The Strategist is responsible for using the needs and wants of the clients to create content in a monthly editorial calendar. Communication is key when finalizing content and making edits with clients. The Strategist is responsible for implementing content through several social media platforms including Facebook, LinkedIn, Twitter, Pinterest, Google+, etc. This may also include the initial set up of profiles. Strategists are also responsible for creating, sending and evaluating the success of e-newsletters, blogs, press releases or articles for clients.

    This is an Independent Consultant position, hours are based on the project size and number of clients you choose to take. All Consultants start at part time hours. Contracted, consistent full time hours are not guaranteed in this position.

    + Event Coordinator

    About You
    The ideal Event Coordinator is a rock star at keeping all logistics and timelines organized and on track! It is essential that this role is filled by someone who enjoys working with multiple clients within a wide range of industries. We require a high level of professionalism and only the best customer service for our clients! This is a leadership role and the ability to create and carryout a conference plan, make decisions, delegate and instill confidence in the team is a must. If you excel under pressure and believe communication is the key to success, we want to meet with you!

    About the Position
    Multiple clients at impact virtual services hold large-scale annual conferences and trade shows. This position was created to lead an assistant in the planning, developing and implementation of all aspects of these events. Hours will vary depending on event dates, flexibility is a must. Logistics can include: booking venues, vendor negotiation, reviewing contracts, creating online registration, event promotion, coordinating guest speakers, tech support, making travel arrangements, shipping and packing event materials, and existing as the liaison among sponsors, vendors, guests and clients. Travel including show set-up and take-down is a requirement. Knowledge and experience developing a working budget and tracking expenses is also required.

    This is a project based position, and you will be working with impact as an independent consultant on the event projects.

    Desired Qualifications & Experience:

    • 3+ years’ experience in a leadership event coordinating role
    • Must have proven experience working specifically with tradeshows and conferences
    • Ability to travel
    • Bring creative and thoughtful attention to attendee experience — design, theme, layout, and decor — while staying true to the client’s brand and mission
    • Must have experience developing project plans and the ability to manage multiple components while exceeding goals
    • Develop and manage tradeshow and events budget
